AICGS is seeking an Operations Coordinator to support the financial and administrative operations of the Institute.
The Operations Coordinator at AICGS works closely with the Director of Finance and Operations to provide day-to-day administrative support to AICGS staff and fellows. He/she processes invoices, reimbursements, and other transactions, liaises with vendors and JHU Accounts Payable, and ensures all AICGS accounts remain in good standing. He/she issues invoices to donors and tracks payments, including for the annual gala fundraising dinner. He/she writes grant budgets and prepares grant accountings for approval by the Director of Finance and Operations. In addition, the Coordinator orders supplies, manages office IT systems, and ensures the smooth daily functioning of the office.
The Operations Coordinator works as part of the team organizing the Global Leadership Award Dinner, AICGS’s annual fundraising gala held in New York City, by maintaining prospect lists, issuing donor invoices and receipts, and tracking payments.
Qualifications for the Position
The preferred qualifications for the position include a bachelor’s degree in International Relations, Business, or a related field with an interest in Germany’s political, cultural, economic, or security affairs and a desire to work on the operational side of a nonprofit. The candidate must be detail-oriented, able to multi-task, and self-organized. He/she must have excellent organizational, communications (written/verbal), time management, and computer skills (Microsoft Excel, Word, competency with digital platforms). Familiarity with the German language is useful but not required.
The ideal candidate will have excellent computer skills, including Microsoft Word and Excel; experience with SAP, Quickbooks, or other financial software are preferred but not required. He/she will have excellent organizational, communications (written/verbal), and time management skills; be energetic, efficient, independent, hard-working, and reliable, with an excellent attention to detail and customer service. The candidate must be flexible to perform the diverse range of tasks required of a small organization and enjoy working in a small team. He/she must have strong interpersonal skills, take initiative, demonstrate innovative thinking, and be able to establish and maintain professional relationships with colleagues and constituents.
